Responsibilities:
Office Administration and Facilities Senior Operator is responsible for providing administrative support to the plant team and to be working very closely with the team and other stakeholders in managing relevant agendas in office administration and employee's welfare. You are also expected to have a good understanding of the workplace protocols and related HR, safety and security policies in order to operate related activities.
KEY RESPONSIBILITIES
- Administer soft service operation of the service providers - Security, Housekeeper, Hygiene, Shuttle Bus and Canteen
- Administer facilities/ activities related to locker rooms, office furniture, stationery, staff uniform, office supplies and consumables
- Ensure compliance in arranging proper welfare required by law such as drinking water and restrooms
- Administer, maintain and develop related work processes/ procedures/ policies under responsibilities
- Create and own solid practice for sustainability projects such as office & canteen waste management (part of sustainable projects), alternative choices of canteen products, green infrastructure
- Provide administrative support on people business traveling
- Manage and deliver effective visitor logistics
- Collaborate with the Human Resources team, Procurement team and the site team to administer relevant processes including but not limited to service providers bidding, generating PO, issuing access cards, auditing, etc.
- Administer Empowerment of People with Disabilities Project in terms of product supplies to the disabilities on time
- Manage for cost effectiveness of soft service and related employee activities funds such as charity for CSR
- Support and facilitate HR team in arranging activities and townhall
QUALIFICATIONS
Essential:
- Proven HR/ administrative working experience in similar role
- Strong administration with pleasant interpersonal skills
- Knowledge in welfare at workplace, GMP, Hygiene, Travel and Expense policy and Purchase Order process
- Security policy and security management
- Canteen monitoring and management
- Able to work well under pressure
- Fair command of English
- Intermediate MS Office application knowledge
Desirable:
- Knowledge of Human Resources and related regulations and procedures is a plus Qualifications
