Blackline (Senior) System Admin

ABOUT THE ROLE

As a Blackline (Senior) System Admin, you will take full ownership of system administration tasks, ensuring stability, compliance, and user support across various finance operations. You will work closely with Key Users (Local Admins), the Global Finance Systems Team, and other stakeholders to maintain and enhance the system’s performance and usability.

This role is critical in ensuring the smooth and efficient operation of the Blackline platform, providing technical and functional support to our Wella finance teams, and driving continuous improvement in our Record to Report processes.

 

WHAT YOU WILL DO

System Maintenance & Administration

  • Monitor system incidents and ensure timely follow-ups
  • Manage user access: new user creation, profile updates, workflow assignments
  • Maintain and update Blackline documentation and user instructions
  • Coordinate system configurations: calendar, thresholds, and deadlines
  • Manage and maintain API connections (yearly activity)
  • Create, edit, and distribute custom Blackline reports
  • Drive improvements with cooperation with operational teams

Blackline Period Updates

  • Ensure accurate and timely period close configurations
  • Manage calendar and holiday setups for global teams

Reporting & Controls

  • Perform Balance Sheet Account Reconciliation (BSAR) checks:
    • SAP vs Blackline balance comparison
    • Subledger and exception checks
    • Team assignment verification
  • Review authorization matrix (FIN17) and user conditional validations
  • Conduct monthly inactive user analysis (JE/RECS/TASKS) and initiate deactivation
  • Prepare monthly KPIs and reports
  • Support internal controls:
    • FIN12 B/C required adjustments and follow-ups
    • FIN24 MEC checklist and reporting

Collaboration with Key Users (Local Admins)

  • Support with:
    • General mailbox and ServiceNow (SNOW) ticket monitoring
    • Task and BSAR reassignments
    • Ad-hoc user and reporting requests
  • Analyse and follow up on:
    • Manual SAP JE postings (SA/SR)
    • JE statistics, including entries under $1k
    • Unassigned accounts and task checklist reviews

Collaboration with finance community

  • Support business by using Blackline functionalities
  • Involvement in project and improvements
  • Technical support in automation (VBA)

  • Strong system and process thinking
  • Ability to create macros
  • Effective communication and stakeholder management skills
  • Ability to work independently and collaboratively in a global setup
  • Previous experience in system support or finance operations (Blackline experience is a strong plus)
  • Fluency in English (mandatory)
