THE ROLE

We’re looking for a highly capable People Services Specialist to join our People Operations Team. This role will be instrumental in establishing Wella’s People Operation Centre, an exciting change to our People Operating Model, and thereafter playing a fundamental role in ongoing people operations. You will report to the People Operations Leader and will have a unique chance to contribute to establishing best in class processes from day 1, ensuring full ownership of the function. Our people team is pivotal in the success of our business, so we are eager to find our People Services Specialist rockstar.  

 

KEY RESPONSIBILITIES

  • Full ownership of People Operations, including payroll processing and HR administration, for your assigned cluster of Countries, working collaboratively with the local People Team and People Operations Leader on all matters.
  • Expert knowledge and ownership of local laws and compliance matters, in line with local policies and processes for your responsible population.
  • Excellent documentation skills and ensuring that People Operations processes and work instructions are updated in a timely manner so that they comply with Internal Audit compliance standards and local legal requirements.
  • Data processing of all People input such as starters, leavers, changes and leave management (such as parental leaves etc.) onto relevant People systems, ensuring 100% accuracy for payroll processing.
  • Close collaboration and day-to-day liaising with key stakeholders to ensure timely and accurate payment cycles, based on the payroll calendar defined per Country.
  • Challenging and improving the current People Operations processes so that they are optimized and leveraged across the Country Clusters
  • Management of People Inbox, query management and responding to relevant employee queries, escalating when necessary.
  • Benefits management, processing, and reporting – in line with local laws and processes defined by Country.
  • Assisting in the processing of annual salary increases / bonuses / WINs/ Relocation payments and any other ad hoc payments required.
  • Working with the outsourced payroll partner, ensuring timely submission of all payroll schedules and where applicable working with the finance team to ensure appropriate deadlines are met for the payroll cycle.
  • Act as an expert for all employee queries and requests relating to payroll, HR administration, pensions, and employee benefit schemes, for your responsible population.
  • Liaising with Finance to complete monthly payroll reconciliations and ensuring that GL codes are updated where necessary.
  • Being a passionate and driven member of our People Operations team and assisting team members with any ad hoc People projects and tasks

SKILLS & EXPERIENCE:

Essential:

  • At least 2 years’ experience in a People Operations capacity, experience working for multiple country clusters is preferred.
  • Experience with HR administration, data and payroll processing
  • Proficient in Microsoft Office such as Excel, PowerPoint & Word
  • Takes a high degree of ownership, aims for high standards of accuracy, but readily communicates and drives solutions when things tend to go wrong. 
  • Supportive, willing to help and communicates openly with the business.
  • Highly organized, creates structure, manages deadlines and systematic via effective time management.
  • Proficient in English and at least one other language within the responsible population.

Desirable:

  • Experience with ADP as payroll vendor is highly desirable
  • Experience with SuccessFactors highly desirable
  • Has worked in a startup setup of a People team.
  • Multilingual – within the responsible population
  • Process minded, looks for the opportunity to streamline, automate and simplify.
