THE ROLE

 

We are looking for an experienced and driven Regional Car Fleet Associate Manager to oversee the full lifecycle of our corporate vehicle fleet across multiple markets (Italy, France, Spain, Portugal). This is a key operational role, ensuring that fleet processes are compliant, cost-effective, sustainable, and aligned with the evolving needs of our business and employees. Acting as the central point of contact for company drivers and fleet partners, you will manage both day-to-day logistics and long-term improvements in line with ESG goals and operational strategy.

 

 

KEY RESPONSIBILITIES

 

Fleet Operations – Regional Scope

  • Serve as the go-to contact for company car drivers across assigned countries.
  • Coordinate car orders, transfers, exchanges, returns, and renewals, ensuring a seamless experience across borders.
  • Manage the end-to-end procurement process of new vehicles, including supplier comparison, approvals, and vendor coordination.
  • Monitor and analyze vehicle usage (e.g. mileage, fuel efficiency) and proactively adjust based on thresholds and driver needs.
  • Ensure local fleet processes are harmonized with global fleet policy.

 

Policy, Compliance & Safety

  • Lead periodic reviews and updates of the company Car Policy in partnership with HR and local operations — focus on cost optimization and ESG targets.
  • Coordinate regular driver license checks and act on any non-compliance.
  • Ensure alignment with country-specific driving and safety regulations, including TÜV (technical inspections), accident prevention training, and emergency equipment requirements (e.g. winter tires, safety vests).
  • Manage accident reporting and penalty processing in line with legal requirements.

 

Financial & System Management

  • Administer fleet-related invoices and purchase orders using SAP and Ariba, ensuring budget alignment and proper cost allocation.
  • Maintain up-to-date vehicle and driver records in leasing and compliance databases.
  • Prepare and deliver monthly fleet reports for Controlling, highlighting cost performance and operational insights.

 

Communication & Engagement

  • Issue regular communications to drivers across countries about key deadlines, safety updates, and compliance obligations.
  • Act as an internal ambassador for efficient and sustainable fleet use.

 

QUALIFICATIONS

 

  • Completed commercial training or equivalent (e.g., industrial business, office communication, logistics).
  • 3–5 years’ experience in car fleet management, preferably in a regional or international environment.
  • Solid knowledge of vehicle procurement, leasing contracts, and compliance requirements across markets.
  • Strong system experience: SAP, Ariba, Microsoft Office; familiarity with car configurators and fleet management tools.
  • Fluent in English & Italian (written and spoken) + Spanish at comunicative level (obligatory) 
  • Valid Class B driving license.
