THE ROLE
We are actively looking for our future Studio Concierge Operations Specialist for the Wella Company’s premium flagship Studio, located in Calabasas, CA. This role is responsible for leading all customer service relations, processing seminar registrations, payments, and to provide outstanding customer service to all guests. This role will also be responsible for Studio attendance needs -during in person or virtual Studio seminars, to ensure attendees have great experience, manage and recruit volunteer hair models. The role will be working in a dynamic, creative environment and has a direct impact on the Studios’ ambitious goals.
KEY RESPONSIBILITIES
- To assist customers with inquiries regarding Studio information, consult on seminar offerings & process.
- Manage all customer interactions as guest concierge and ensure protocol accuracy.
- Manage all Studio registrations process: Entries, registrations/payments & reporting accuracy.
- Manage confirmation letters, follow up phone calls and thank you emails/calls.
- Responsible for booking various artists and guest speakers for Studio seminar offerings.
- Plan, set up and execute for all seminars and events – including snacks, lunches, gifts, collateral, products (NRO) and book volunteer models.
- Contact person for virtual seminars collaborating with Studio Signature Artists.
- Responsible for shipping virtual Studio seminar kits for our online seminars.
- Responsible for capturing content during live Studio seminars.
- Manage all Studio inventory: seminar materials, merchandise and office supplies.
- Act as an owner of the Studio business to increase Studio awareness, utilization, revenue and loyalty through proactively suggestive upselling of Studio programs and studio merchandise to meet Studio monthly targets.
- Manage monthly tracking and reporting of all Studio income and seminar P&L.
- Manage Monthly Registration Reports to ensure attendance is recorded and captured accurately.
- Analyze Data, provide report findings and solutions.
- Manage Volunteer Model database (recruiting, scheduling, and processing paperwork)
- Handle related duties and assignments as necessary.
- Additional tasks, duties and responsibilities as assigned.
- Flexible work schedule is required, in person Sun – Thursday 8am to 5pm with some evenings (option to work remotely one day a week, depending on business needs)
QUALIFICATIONS
Essential:
- Analytical skills, able to analyze data and provide feedback/solutions.
- Fluent in English with excellent oral and written communication skills.
- Well organized, time management, multitasking, and ability to meet critical deadlines.
- Flexible work schedule – to work weekends and evenings (typical schedule 8am to 5pm with option to work remotely one day a week, depending on business needs)
- Proficient in MS365, Apple devices/software & Zoom
- Intermediate / Advanced skills in Power Point, Excel: Pivot Tables & V look up
- Social media savvy across: Instagram, Facebook, and Tik Tok
- Ability to engage with diverse levels of personnel in a multi-functional environment
- Ability to work independently, under general direction, and project management
- Demonstrate creative thinking and flexibility in a dynamic and changing work environment

- Preferred College Graduate with 1-2 years of Customer Service Experience.
- Beauty industry experience.
We disclose the compensation range for positions in compliance with local law. Actual salaries will vary and may be above or below the range based on various factors including but not limited to location, experience, skills and in comparison to internal incumbents currently in similar roles. Pay Range: $55,000-$70,000 salary per year. The range listed is just one component of Wella Company's total rewards package for employees. Other rewards may include annual bonus plan or variable pay, depending on the role. In addition, Wella Company provides a rich variety of benefits to employees, including health insurance, life and disability insurance, 401(k) retirement plan, paid holidays and paid time off (PTO).
